Privacy Policy

This policy explains how personal data is handled when you visit opheliavintageberlin.com or contact Ophelia Vintage Berlin through the website.

1. Controller

2. Website hosting and server logs

When you visit the website, the hosting provider processes technical information required to deliver and secure it. This may include your IP address, date and time of access, requested page, referring page, browser type and operating system. Processing is based on our legitimate interest in providing a secure, reliable website (Article 6(1)(f) GDPR). Log information is retained only for as long as needed for security and technical operation, unless a longer period is required to investigate misuse.

3. Pop-up enquiry form

The pop-up enquiry form is processed using Netlify Forms. It collects the information you enter, which may include your name, email address, brand or project name, Instagram or website, preferred dates, project type and your message. We use this information only to review and respond to your enquiry, arrange a viewing, and take steps towards a possible booking.

The legal basis is Article 6(1)(b) GDPR where processing is necessary to take steps at your request before entering into an agreement, and Article 6(1)(f) GDPR for managing genuine business enquiries. Netlify processes form submissions on our behalf as a hosting and form-service provider. Information may be processed outside the European Economic Area subject to the safeguards used by the provider.

4. Email, WhatsApp and Instagram

If you contact us by email, WhatsApp or Instagram, we process the details you provide to answer your enquiry and, where relevant, arrange a purchase, consignment, visit or booking. The legal basis is Article 6(1)(b) GDPR for contractual or pre-contractual communication and Article 6(1)(f) GDPR for other genuine business communication.

WhatsApp and Instagram are third-party services with their own privacy practices. When you follow one of those links, data is handled by the relevant provider. Please avoid sending sensitive information through social media.

5. Google Maps and external links

The location section includes an embedded Google Map. The map is loaded only when it approaches the visible part of the page. When it loads, your IP address and technical browser information are transmitted to Google; if you are signed into a Google account, Google may associate the interaction with that account. Google acts under its own privacy policy.

The website also links to Google Maps, Google Reviews, Instagram and WhatsApp. When you choose to follow one of these links, the relevant provider receives the usual technical information associated with your visit and its own privacy policy applies.

6. Cookies and analytics

At the date shown above, this website does not use advertising trackers or visitor analytics and does not itself set optional marketing cookies. The language selector stores your chosen language (English or German) locally in your browser so it remains consistent between pages. The embedded Google Map is third-party content and may use Google technologies when it loads. If analytics or additional non-essential technologies are added later, this policy and the website’s consent controls must be updated before they are enabled.

7. Retention

We keep enquiry information only as long as necessary to answer and manage the enquiry. Information connected to a booking, purchase, consignment or other business transaction may be retained for longer where accounting, tax or other legal obligations apply. When information is no longer needed, it is deleted or anonymised.

8. Recipients

Personal data is accessible only where necessary to operate the website and respond to enquiries. Service providers such as the website host, form provider, email provider and, when you choose them, WhatsApp or Instagram may receive data. We do not sell personal data.

9. Your rights

Subject to the conditions of the GDPR, you may request access to your personal data, correction, deletion, restriction of processing, data portability, or object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time for the future.

To exercise your rights, email opheliavintageberlin@gmail.com. You also have the right to lodge a complaint with a data-protection supervisory authority. The authority responsible for Berlin can be found at datenschutz-berlin.de.

10. Changes to this policy

We may update this policy when the website, our services or legal requirements change. The current version will always be published on this page.
